These are sample terms and a placeholder privacy policy for this version of Roundtable. They will be updated as the service develops.
1. Using Roundtable
Roundtable provides private, invitation-based discussions. By using the service, you agree to use it respectfully and lawfully. Do not harass others, share illegal content, interfere with the service or attempt to access discussions without an invitation.
Hosts are responsible for their account credentials and the invitation links they share. Anyone with an invitation link can join a discussion, so share it only with people you intend to invite.
2. Your content
You remain responsible for the topics, comments and other content you submit. Share only material you have permission to use. Other participants in the discussion can see your display name, contributions and votes.
A host can delete a discussion, which removes its topics, votes, comments and participants. Keep your own copy of any information you need to retain.
3. AI assistance
Roundtable assistant offers basic guidance about using the service. AI topic tools can help polish or suggest topics. AI responses may be inaccurate; review suggestions before relying on or publishing them. The assistant cannot access or change your account or discussions.
Do not include passwords, sensitive personal information or confidential discussion content in messages to the assistant.
4. Availability and updates
Features and availability may change. We may update these sample terms as the service develops. The service is provided as available, without a promise that it will always be uninterrupted or error-free.
5. Privacy policy
Information used by the service
Roundtable uses your name and email for your host account. Account authentication and password changes are handled by Amazon Cognito. Discussion data, including topics, comments, participant names and votes, is stored in Amazon DynamoDB.
Cookies and private discussions
Essential HTTP-only cookies maintain your account session and identify your participation in a discussion. Discussion content is intended for its host and invited participants. Invitation links grant access to join, so treat them as private.
AI requests
When you send a help message, that message and a limited recent chat history are sent to OpenAI to generate an answer. Topic assistance sends the relevant discussion context and draft to OpenAI when requested. Requests disable response storage through the API; OpenAI’s applicable data handling policies still apply.
The help chat is kept in memory in your current page and is cleared when you leave or reload it. It is not saved to the discussion database.
Managing your information
You can change your password in Settings, and hosts can delete their discussions from the Your discussions menu. Account deletion, data export and a dedicated privacy contact are placeholders that will be documented as the service develops.
